Compliance Management in Totara Learn

When organisations operate in highly regulated environments where compliance is a legal requirement, it’s imperative that compliance criteria can be determined and audit trails are consistently accurate. 

Totara Learn features a number of tools which allow organisations to assign learners with the correct learning and training programs, automate recertification alerts and generate reports on program completions and non-compliance. 

Multi-Course Learning

With Totara Learn, managers and administrators can utilise a mechanism to enrol learners into mandatory and optional courses like health & safety, bribery, and onboarding. Single or multi-course learning pathways can be created from a catalogue which is online, offline or a combination of both with an array of options around course requirements and completion orders. 

Completion reminders and alerts can be personalised, preconfigured and automated by course managers and administrators so that essential compliance training is delivered on schedule. To ensure ongoing compliance, Totara Learn also allows differing certification pathways. 

Certification expirations are automatically tracked so managers and learners can be alerted to any upcoming training requirements and then plan, budget and deliver accordingly. 

Training programs and courses can be automatically assigned based on factors such as organisation, employee position and management hierarchy.

Personalised Messages and Notifications

A variety of messages can be personalised and preconfigured for learners, managers and administrators so that completion reminders are automated and important updates prescheduled. 

Default messages and required changes or additions to programs and certifications can be created using the centralised notifications framework. 

Messages can be prebuilt to be submitted only when specific requirements or conditions have been met and can be sent using different methods including Totara Mobile, via email or directly to a user’s dashboard. Placeholders can be used to personalise each message sent, and multiple languages are supported.

Report Generation

In-depth reporting is a crucial element of compliance management. With Totara Learn, learning and development teams can generate reports to identify users yet to complete mandatory training and then engage with managers to ensure it is prioritised. Daily, weekly, monthly or yearly reports on training completions and gaps can be scheduled to ensure compliance managers regularly receive the latest data.
